Flexdrive is a fleet management company that manages roughly 15,000 vehicles, that enables scale and structure for vehicle acquisition, lifetime value maximization and vehicle remarketing needs and is building the future of AV fleet management with operations in the US and Europe.

We are looking for an experienced business operations professional who is passionate about developing Flexdrive’s systems, processes, and operations. In this role, you will focus on Flexdrive’s core business operations and financial responsibilities including financial reporting, cash management, vendor management, budgeting/forecasting and fleet management initiatives In addition, this individual will build Flexdrive’s internal processes that will streamline financial reporting across multiple focus areas (vehicle acquisition, vehicle remarketing, salvaged vehicles, recoveries, and stolen vehicles).

You'll act as a subject matter expert across multiple business verticals: owning month-end close deliverables, identifying anomalies in complex invoice workflows, supporting cash reconciliations in partnership with accounting, and working closely with cross-functional operational teams to build a full understanding of the business and uncover gaps to close. This role is centered on Flexdrive's rental business, with the potential to grow into AV fleet support as the business scales and the role evolves.

Responsibilities:

  • Month-End Close & Financial Operations Own month-end close deliverables across assigned fleet and operational areas, including financial reporting, accruals, reconciliations, and variance analysis, ensuring accuracy and timely completion.
  • Serve as the subject matter expert for fleet-related cash transactions, including tracking and reconciling payments across relevant accounts and investigating and resolving discrepancies.
  • Prepare and provide monthly loan and lease activity to the Accounting team, ensuring complete and accurate inputs to support financial reporting and month-end close.
  • Partner cross-functionally with FP&A, Treasury, Accounting, and Operations to support accurate and timely financial reporting, resolve variances, and improve financial processes.
  • Develop, maintain, and document standard operating procedures (SOPs) for recurring financial and operational workflows, with a focus on strengthening controls, improving efficiency, and creating scalable processes.
  • Support Purchase Order (PO) management across the Flexdrive entity, including monitoring PO activity, coordinating with stakeholders, and helping ensure appropriate funding and financial alignment.
  • Prepare the quarterly Flexdrive cash flow review, including validation of underlying activity and reconciliation to the Accounting Cash Flow Statement.
  • Own the preparation and coordination of audit support files for assigned areas, ensuring documentation is complete, accurate, and provided timely in response to audit requests.
  • Identify opportunities to improve and automate existing financial processes, partnering with relevant teams to reduce manual work, strengthen reporting, and improve operational efficiency.

Salesforce System Support

  • Own day-to-day Salesforce system support and administration, including data loads, integration monitoring and reviews, and ongoing data completeness, accuracy, and quality checks.
  • Support the development, testing, and implementation of new Salesforce functionality and system enhancements, ensuring solutions align with evolving business and operational requirements.
  • Partner with cross-functional stakeholders on ongoing Salesforce needs, including troubleshooting issues, addressing data and reporting requirements, and coordinating system improvements.
  • Develop and maintain Salesforce reports and dashboards that provide actionable insights, improve visibility into key business processes, and support operational and financial decision-making.
  • Identify opportunities to strengthen Salesforce processes and controls, including improving data quality, reducing manual workflows, and enhancing the overall usability and scalability of the system.

Business Operations & Process Support

  • Support and optimize core business processes across fleet operations, vendor management, and financial operations, with a focus on improving accuracy, efficiency, and scalability.
  • Identify anomalies in complex invoice workflows (e.g., OEM parts, depot services, insurance, maintenance) and resolve discrepancies cross-functionally
  • Identify and support opportunities to automate manual processes, streamline recurring workflows, and reduce operational inefficiencies.
  • Develop and implement operational initiatives and business processes that support broader financial and business objectives.
  • Provide ad hoc financial and operational support across Flexdrive’s Rental and AV fleet operations as needed.

Cross-Functional Partnership

  • Serve as a key connector across Business Operations, Finance, Fleet Operations, and external partners, helping ensure alignment, effective communication, and timely resolution of financial and operational matters.
  • Act as a primary point of contact for inquiries related to Flexdrive’s financial operations, coordinating across teams to research questions, resolve issues, and provide clear and timely responses.
  • Partner with cross-functional stakeholders to identify and drive opportunities for operational efficiency, cost optimization, and process improvement across Flexdrive’s financial and operational workflows.
  • Translate financial and operational data into clear insights and actionable recommendations, effectively communicating with both technical and non-technical stakeholders to support informed decision-making.

Experience:

  • Bachelor’s degree in Finance, Accounting, Business, Economics, or a related field.
  • 3+ years of relevant experience in business operations, finance, FP&A, or a related analytical role; experience within the automotive, fleet, mobility, or autonomous vehicle industry is a plus.
  • Advanced proficiency in Excel and/or Google Sheets, with experience building financial models, performing scenario and variance analyses, and working with large or complex datasets.
  • Strong understanding of accounting and finance principles, including financial reporting, accrual accounting, reconciliations, and variance analysis.
  • Experience supporting month-end close processes, including preparing accruals, performing reconciliations, analyzing financial results, and investigating discrepancies.
  • Demonstrated ability to build financial and analytical models from the ground up, particularly in fast-paced and evolving business environments.
  • Strong verbal and written communication skills, with the ability to translate complex financial and operational analyses into clear insights and effectively communicate with stakeholders at all levels, including senior leadership.
  • Comfort operating in ambiguity, with the ability to take ownership, develop structure, and build scalable processes where established processes may not yet exist.
  • Exceptional attention to detail and analytical rigor, with a demonstrated track record of producing accurate, reliable, and high-quality work.
  • Strong organizational and prioritization skills, with the ability to manage multiple high-priority deliverables simultaneously and operate effectively in environments with a high degree of complexity and change.
  • Proactive and solutions-oriented mindset, with the ability to identify issues, investigate root causes, and independently drive work toward resolution.
  • Bonus Points Experience within fleet management, automotive, rideshare, rental, mobility, or autonomous vehicle operations.
  • Experience with SQL, business intelligence tools such as Looker, Tableau, or Mode, and/or working within data warehouse environments.
  • Experience in a high-growth, startup, or rapidly evolving environment, particularly where you have helped build new processes, systems, or workflows from the ground up.
  • Demonstrated experience supporting cross-functional initiatives that require alignment across operational, financial, technical, and strategic priorities.
  • Exposure to autonomous vehicle operations, electric vehicle infrastructure, or other emerging mobility technologies and business models.
  • Experience identifying and implementing process automation or system improvements that reduce manual work and improve data quality, scalability, or operational efficiency.
  • Hands-on experience with Salesforce, including creating, customizing, and maintaining reports and dashboards to support financial and operational decision-making.

The expected base pay range for this position in the Nashville area is $59,040 - $73,800, not inclusive of potential equity offering, bonus or benefits. Salary ranges are dependent on a variety of factors, including qualifications, experience and geographic location.
